VALERIE'S TIP: How to reduce email correspondence
Okay, I’ll admit. This tip is a bit cheeky but I heard it from a very busy executive last week who swears by it. We’ll call him John (not his real name). John was receiving so many emails it was taking him hours to get through them all. Simply ignoring or deleting the emails wasn’t an option.

He had to reply. So he began keeping his responses very brief and to the point. However, he began getting feedback from his email recipients that they didn’t appreciate his rude tone.

So then John incorporated "Sent from my iPhone" in his email signature. This was displayed to his email recipients to give the impression he was out and about - with only a spare moment to respond to emails on his mobile. And he limited his responses to one word or one-line answers. You can use the same signature or the equivalent: “Sent from my Blackberry”.

The response from recipients was amazing. Those who previously complained about his "rude" handling of email were thanking him for taking the time to respond when he was out of the office!

The time he spends on emails is now a fraction of what it used to be but he’s still getting his job done - one line at a time!

Avoid double up when you use same data in Word and Excel
Ctrl + Shift + F7
In your MS Word document, you can embed data such as spreadsheet figures or objects such as pie charts. For example, these items can be dynamically linked so that when the Finance Department makes changes to the spreadsheet, your report will be automatically updated and reflect those changes.

Now, sometimes you may want to force an update of the links and this can be done in MS Word by holding Ctrl, holding Shift and pressing Function 7 (Ctrl + Shift + F7).
